Workspace is Grants.gov's shared, online environment to collaboratively complete and submit federal grant applications. Use Workspace for proposal submissions to federal agencies that do not have a dedicated submission portal. For example, NSF has its own dedicated submission portal, FastLane, while NIH utilizes ASSIST, and NASA utilizes NSPIRES. Below are some common federal agencies for which Workspace should be used.
- Department of Agriculture (USDA)
- Department of Commerce (DOC)
- Department of Defense (DOD)
- Department of Education (ED)
- Department of Energy (DOE)
- Department of Justice (DOJ)
- Department of Transportation (DOT)
- Environmental Protection Agency (EPA)
- Small Business Administration (SBA)
- U.S. Geological Survey (USGS)
But before using Workspace, there are few set up steps that must be completed.
Workspace set up steps
Step 1: Grants.gov applicant registration
Before applying for a funding opportunity, you must register an account with Grants.gov. To register for a Grants.gov account, please see the Grants.gov Application Registration page for step-by-step instructions.
Step 2: Add organization applicant profile to Grants.gov account
Once you've completed the account registration, you then need to add an organization applicant profile to your Grants.gov account. Please see the instructions for adding a profile. Note: When prompted for UNR's DUNS, enter 146515460.
Step 3: EBiz point of contact (POC) authorizes profile roles
After you register with Grants.gov and create an Organization Applicant Profile, your request for Grants.gov roles and access is sent to the EBiz POC in Sponsored Projects. The EBiz POC will then assign your Grants.gov roles and inform you that your roles have been assigned. You can also track the status of your role request as follows:
- Log in to Grants.gov.
- Click the My Account link in the top banner.
- Click the Manage Profiles tab on the My Account page.
- Review the Role(s) column in the My Applicant Profile(s) table.
Once your Workspace roles have been assigned, you are ready to create a proposal using Workspace.
Creating a proposal using Workspace
Step 1: Identify the Workspace application package
Each Workspace application package is specific to a particular grant program and deadline and cannot be used for other grant programs, so the first step in creating a Workspace application is to locate the funding opportunity for which you want to apply using the Grants.gov Search function.
Once the funding opportunity has been identified via the search function, click on the opportunity to view it. Be sure to click all tabs on the View Grant Opportunity screen, e.g., Synopsis, Version History, Related Documents, Package. On the Package screen, click the Preview link in the Actions column, and then click Download Instructions. Be sure to carefully read the application instructions. In addition, you can preview any application forms by clicking the form links in the Package Forms column.
Step 2: Create Workspace
- From the View Grant Opportunity screen, click the red Apply button near the upper right of the screen.
- Complete the Application Filing Name field and click Create Workspace.
Upload Workspace application to InfoEd and route for internal approval and submission
Once the Workspace application is completed, the proposal application must then be recorded in InfoEd, UNR's grant proposal tracking system. When recording the proposal in InfoEd, be sure to upload a PDF of the entire Workspace application on the InfoEd Proposal Docs & Forms screen. Once the InfoEd proposal record is complete, route it for internal approval. After all internal approvals have been satisfied in InfoEd, a Sponsored Projects research administrator will contact the principal investigator regarding the proposal review and submission.
After submission to Grants.gov
After submitting the proposal application, Sponsored Projects will receive a series of submission confirmation emails from Grants.gov (including the Agency Assigned Tracking Number for the proposal) and will forward the emails to the principal investigator and upload copies of the emails to the InfoEd proposal record. Once the proposal has been accepted by the sponsoring agency, it is no longer in Grants.gov. To check status of the proposal, the principal investigator must contact the sponsor agency and reference the Agency Assigned Tracking Number.
