P.I. Responsibilities in Effort Reporting

  • Ensure that all members of research team take Effort Reporting training.
  • Be familiar with the Effort Reporting Policy.

Commitment Issues

  • Make sure that you and all project team members are working at the level of commitment as stated in the proposal. If you committed two academic contract months in year one of a project, then you must show 2 months effort in the appropriate effort reporting term(s).
  • Notify Michelle Dondanville in OSP if you are not able to work the level of commitment that you have made on the project. The University may have to obtain prior written approval from the sponsor.
  • Consider how increases in your institutional activities may cause a potential conflict of commitment to your research commitment.
  • Remember that the salary for effort spent on writing proposals (new and continuing) is NOT an allowable cost on existing sponsored accounts. 100% grant funded faculty can apply for support from the Institutional and Proposal Preparation Support Program.
  • Report all outside activities that pose a conflict of commitment in compliance with the Conflict of Interest Policy.

Award Phase Issues

  • Collaborate with your departmental staff to set up the Payroll Action Form (PAF) for all personnel working on a project to reflect the planned level of effort for a future period.
  • Notify your effort departmental coordinator when there is a change in the planned level of effort as directed on the PAF. A revised PAF and/or cost transfers may be required. Failure to process documents on time may result in the charges being posted to your F&A account because they are not allowable costs on the sponsored project account.
  • Charge salary and report effort as work is performed.
  • Use memo accounts if you want to start working on a project but the funding process is not complete.
  • Collaborate with the effort departmental coordinator to properly prepare effort reports for certification.
  • Send Michelle Dondanville your Suitable Means of Verification if you certify another employee’s effort report, UNLESS you are the employee’s supervisor.
