ADMINISTRATIVE TRAINING

The following list of learning opportunities are provided through our office at no cost to you and are held at Getchell Library. Please see our Training Calendar for upcoming dates and times.

B.C.I.S. Form I-9

In this free workshop, you will learn how to process the Form I-9 according to the guidelines established by the US Citizenship and Immigration services (USCIS). As a result of attending, you should be familiar with:

  • The purpose of  Form I-9
  • What are the employee's responsibilities for completing Form I-9.
  • What are the employer's responsibilities for completing Form I-9.
  • What documents are acceptable on which list.
  • Know where and how to find help should you experience difficulties. 

Classified Leave Record Keeping

Part one in a two part series, which explores the basics of classified leave keeping. Attendees will learn about annual leave, sick leave, prorating, banking and many other important topics. This is a great resource for any employee new to classified leave keeping or for those looking for a refresher course.

Objectives:

  • Review state of Nevada, board of regents and university leave policies
  • Learn where leave policies and forms are available on the internet
  • Learn how to calculate overtime, compensatory time and bank sick leave
  • Practice leave record keeping for all employee types from exercises provided in this training

NOTE:  A calculator, highlighter, pencil and scratch paper will be provided for you to use for the leave keeping exercises.

Comprehensive Position List

As occurred in 2005-2006, all classified and professional, regardless of the source of funds, will be budgeted as they are actually expected to be paid in the position lists. The comprehensive position list data will be used by Faculty Human Resources to generate all faculty PAF paylines for July 1, 2006 through June 30, 2007. Position lists will be distributed electronically rather than in a hard copy and will allow for various start and stop dates for account changes throughout the year.

EAP Supervisory Training

The system office and SCS north will be providing training on February 21, 2006 at the UNR campus site. (For Supervisors only.)

The supervisory training will consist of the following topics: Introduction; Basic features of our Employee Assistance Program; Types of referrals; Difficulties in Confronting Problem employees; and Five Steps to deal with the Troubled Employee followed by a question and answer period.

Ergonomics Training

The objective of the office ergonomics training is to assist employees with improving their comfort while working at their computer.  This will be accomplished by explaining the basic principles of office ergonomics and by providing information on how to properly set up and adjust a computer workstation. 

General University Accounting

Participants will learn how to process the necessary forms required to use for "General University accounting". Learning objectives are as follows:

Before you attend the class you must establish your UNR NetID, password and security to access accounts.

  • Learn various controller's payment forms, when and how to use them.
  • Learn how and when to use a Request for Payment form.
  • Learn how and when to use an Internal Purchase Order.
  • Learn to use a Journal Voucher.
  • Learn the uses of a transfer voucher, transfer budget, revenue budget and expense budget document.

Hiring New Faculty (A & B Faculty Contracts)

In this free workshop, you will learn how to process the necessary forms according to the established guidelines within various university entities and UNR Human Resources. As a result of attending, you should be familiar with how to:

  • Identify methods for managing personnel data.
  • Learn how to prepare hiring forms.
  • Develop a contract.
  • Learn how to secure approval for a contract according to guidelines of your department, Dean, Vice President and UNR Human Resources.
  • Analyze how the Academic Year Calendar affects the faculty contract.
  • Administer benefits for the new hire.
  • Use a Salary Schedule.
  • Know where and how to find help should you experience difficulties.

How to Prepare a Self Supporting Budget

This class will cover how to build a self supporting budget (Not for sponsored project accounts) now that all professional and classified positions are budgeted using the comprehensive position lists. Summarized salary information for professionals  and classifieds will be available in a CAIS Human Resources Look up information report which will be developed and published by March 1rst. This class will also cover  how to prepare budget revisions and how to use the new "fringe and salary calculator" on the budget website.

How to prepare a Self-Supporting Budget (not for Grant & Contracts)

  • Learn how to access the various budget forms ( budget templates as well as budget revision templates)
  • Learn when to use each form and how to effectively input data in the forms.
  • Learn the CAIS reports which are most helpful in developing budgets.
  • Learn the review procedures performed on budgets.
  • Learn the links between budget, position control and PAF's and the importance of reviewing the budget prior to submitting PAF's to HR.

Independent Contractor Agreement

During the independent contractor agreement workshop, we will cover:

  • The IRS IC guidelines
  • How to complete the new independent contractor agreement form
  • How to meet insurance requirements
  • How to review forms prior to submission
  • And nonresident alien IC's

Letter of Appointment Contracts

Participants will learn how to process the necessary forms according to the established guidelines with various university entities and UNR Human Resources for LOA Faculty. The learning objectives are as follows:

  • Identify methods for managing personnel data.
  • Learn how to prepare hiring forms. 
  • Learn how to secure approval for a contract according established guidelines.
  • Know where and how to find help should you have problems with processing the documents. 

New Notary Training

This one day workshop is for "New Notaries" this is not a refresher. You will have the understanding of basics notarizations. There will be a minimal fee of $20.00 per person. You will receive an invoice in campus mail. Please pay with University Purchasing card.

Online Grant's Budget Revision

Objectives:

  • Learn how do enter an online Grant’s & Contracts budget revision.
  • Learn the procedures on getting the information to Grant’s & Contracts.
  • Learn the security routes that the budget revision goes through.
  • Discuss other documents that you would like to see go online.
  • Discuss other issues regarding Grant’s, ADVANTAGE, and CAIS.

PaymentNet Training

A must class for everyone who has responsibility for charges and transactions to or edits the University Purchasing Card (Pcard) Mastercard. This is a step-by step tutorial on the PaymentNet system.

Before you attend the class you must establish your UNR NetID and password.

Objectives:

  • Learn to edit the default accounting codes and sub-object codes.
  • Run reports and answer questions about the University credit card procedures.
  • Learn how to split transaction into different budget numbers.

Postdoctoral Scholar Contracts

Participants will learn how to process the necessary forms according to the established guidelines with various university entities and UNR Human Resources for Postdoctoral Scholars. The learning objectives are as follows:

  • Identify methods for managing personnel data.
  • Learn how to prepare hiring forms.
  • Develop a contract "terms of employment".
  • Learn how to secure approval for a contract according to established guidelines.
  • Know where and how to find help should you have problems with processing the documents. 

Professional Employee Leave Keeping

This class is part one in a part two series, which explores the basics of leave keeping for academic and administrative faculty as well as postdoctoral scholars. Attendees will learn the types of of leave available as well as an overview of leave accruals for faculty on an "A" or "B" contracts and postdoctoral scholars.

This training is recommended for any employee new to professional leave keeping or for those looking for a refresher course.

Objectives:

  • Review State of Nevada, Board of Regents handbook and University leave policies
  • Learn where leave policies and forms are available on the internet
  • Prepare, maintain and audit leave records for faculty and postdoctoral scholars employees
  • Review leave keeping policies for employees changing to different employee types (i.e. changing from a classified to faculty or changing from postdoctoral scholar to faculty, etc)
  • Practice leave record keeping for all employee types from exercises provided in this training

NOTE: A calculator, pencil and scratch paper will be provided for you to use for the leave record keeping exercises.

Preparing Hiring Documents for a Student Employee

Learn how to prepare a Payroll Action Form (PAF) and additional hiring documents for Student Employees. By the end of this workshop you will know how to:

  • Complete a Payroll Action Form (PAF) for a student employee.
  • How to complete a PAF for student’s with Work Study.
  • How to complete an I-9 for an international student employees.
  • What forms are required for a previously employed student and how to complete these forms.
  • What forms are required for a new hire student employee and how to complete these forms.

Travel Information Training

Objectives:

  • How to and when to complete forms.
  • How to and when to request advances.
  • What is per diem vs. lodging rates for in-state, out of state and foreign travel.

Using the Campus Administrative Information System (CAIS)

Use this new Web-based accounting system to perform inquiries and reports online.  This class is intended for all who have to work with departmental accounts.  While attending this free workshop, you will: 

Before you attend the class you must establish your UNR NetID, password and security to access accounts.

  • Go on-line and connect to CAIS.
  • Navigate through the CAIS Interface.
  • View budgeted and nonbudgeted accounts.
  • Retrieve an expense budget summary as well as budget detail.
  • Obtain general ledger detail information.
  • Acquire detailed transaction reports.
  • View account and budget status, current as of the previous day's business.
  • Obtain the status of purchasing documents.
  • Look up grants and contracts information.
  • Check on the status of revenues.
  • Reconcile accounts, receivables, travel claims, payroll and other data with your departmental spreadsheet or records.

Using Custom Inquiries in CAIS

This workshop is for those who are already comfortable with using CAIS, spreadsheets, and/or databases.  This class will help you further your understanding of CAIS and how to customize queries and simplify repetitive tasks.   As a result of attending, you will be able to:

Before you attend the class you must establish your UNR NetID, password and security to access accounts.

  • Acquire information beyond what is provided in standard reports.
  • Preselect and customize what kind of financial data you want to view by account number, object and/or subobject codes, vendor, etc.
  • Create your own master.
  • Download your customized financial reports into a local spreadsheet and/or database environment.
  • Create and save "My Favorites."  These are your own master data inquiries that are customized for chart of accounts, revenue and subrevenue codes, etc.
  • Create your own reports to look the way you want for your department's general ledger and budget ledger. 
  • View the details of your security permissions.
  • View your session history.

Suggestion:  To get the most of this learning opportunities, it is recommended you bring some questions and examples where you would like to get customized data for your department.

Prerequisite:  Attendees should be proficient with using CAIS as well as a Windows-based spreadsheet and/or database application.

Using Degree Audit Reports in Advising (DARS)

Learn how to use a DARS report to increase the efficiency of the advising process. DARS must read "All Requirements Complete" before a degree will be posted.

Note: Participants need access to the Student Information System (SIS).
