UCCC NOLIJ Online User's Manual

 

Gaining Access to NOLIJ University Course and Curriculum Database (UCCC)
Prior to signing on to NOLIJ UCCC Database you must obtain the proper security access from the IT department on campus.  Complete the form you will find at: http://www.cis.unr.edu/forms/security.pdf  (University of Nevada, Reno Application for Administrative Account). You must complete the first page of the form. In the middle of this page, check "Oracle-Other" under type of access requested. On the line below, write in "C & C", then check off "3rd Party Application" and write "NOLIJ" on the line below. Send the completed form to IT, mail stop 0291. Once you have completed this step your Oracle Username and Password will be established. 

 

Entering the UCCC Database
Once you have obtained your Username and Password, you will be able to log on to NOLIJ.  To access NOLIJ, you will need to use the Remote Desktop Connection

In order to find the Remote Desktop Connection, follow the path:

(It is a good idea to create a short-cut on the desktop for this)

 

 

 

 

 

 

 

 

 

 

 

 

You will be prompted with the following dialogue box:

Leave “ts.unr.edu” in the field and click “Connect”

 

The following dialogue box will appear:

Enter your usual netID password.

 

Then the following login box will appear:

Enter only your netID as the username. If there is something else in this field, delete it. Enter your regular netID password.  Click OK.
The Remote Desktop screen will come up. Double click on the NOLIJ icon.

The NOLIJ main screen will come up. There may be a blue/green NOLIJ screen that will come up first, just wait a few seconds and the gray/black screen shown below appears.

The first field should say “CONTPROD”. Enter your Oracle Username (in UID field) and password (in PWD field) into the NOLIJ WEB interface. This is where you need to use the Oracle username and password established through campus IT. HINT: you cannot “tab” from the username to password fields.

Click “Connect”.

 

All the applications on NOLIJ that you have access to will show in the next box. Highlight the CourseCurriculum database and select  “OK”.
(If this option is not available, contact: John Kearney kearney@unr.edu, he is the only person who can give access to this Database)

Important note:
If the interface looks like this when you log in, click the button “Show Work Flow” on the menu. See icon below. You will have view only access to this database.

Searching the Database:
When NOLIJ opens up, the interface should look like this:

You can search and view documents using a number of search fields, see the images on previous page. Completing several search items will limit the results.

 

Data Organization:
Each image in the database has been classified into one of the following categories. 

nolijIf the image is part of a course change proposal, it will be categorized as COURSE-PROPOSAL.  If it pertains to a Program change, it will be categorized by PROGRAM-PROPOSAL, etc. You can search for complete UCCC agendas and minutes but you cannot search for a specific course or program on those agendas or minutes.

Searching just Course Proposal will produce a result of ALL course proposals in the system. You can refine your search by putting in the academic year or if you know the month and/or year of the UCCC meeting where the change/creation/deletion was reviewed/approved, that will narrow it down as well. Or you could input just the academic year and a prefix, this will produce a result of all changes to courses with that prefix for the entire academic year. If you are looking for a specific course, input the prefix and the number. If the course has a suffix (such as an “R”), you should use a space after the number. The course title field will work, however it must be typed exactly, using just the first word or typing “&” for “and” will not work. If you know an old course prefix/number you can use those fields to pull up the new prefix/number as well as the proposal documents that were submitted when that change was made. For program searches, use the SIS codes for the program code/name fields.

 

Fields that you do not want to use for your search
Unfortunately, using the meeting date field is not a viable search field, however, you can use the month and/or year fields (this pertains to the month and/or year that the proposal was reviewed by the UCCC). The other fields on the interface that are for the NOLIJ database administrators use only or for other areas of use such as DARS are: Scanning Folders, catalog year/semester, worksheets, department, and the internal1 and internal2 fields should not be used. The “other” field probably won’t help in your search because you would need to know exactly what was typed in the field in order to search for it, however; this field may help explain a document once it has been chosen from the results.

 

Items
Images are further classified by the type of item it is. Examples of the different types of documents are listed below. These forms have changed over the course of time, and will not necessarily look the same. If you just search by one item type, CCN for example, your result will be every CCN form in the database.

Additionally, if a document has several pages, those images have been grouped together. At the top of the image, there should be a page counter that will allow you to scroll through each of the pages. In the example below, images 10131311 and 10131313 will be grouped with image 10131309 and only show as one image in the search results. HINT:  if you are looking for a specific form but you are not finding it, you may want to look under the “main form” for that course.

Search Results:
After you have performed your search, the results will show in the “query results” column to the left,

Click on the result in which you are interested. The corresponding image icon will appear in the “folder objects” column and the interface will auto fill with the basic information regarding that document . Click on the image icon and the document will display on the right side.

If you wish to run another search, you may need to clear the search fields or the results panel. To clear the search fields, click the icon:

These icons are located on the toolbar at the top, next to the binocular icon.

 

If you want to run another search but wish to retain the search results that you have already received, place your cursor on the query icon that pertains to the information you want to keep, hold the Control button and left click. The icon will turn red:

These files will stay in the query results until you “Control + Click” the icon again.
